01 · Live booking calendar

Renters see what's open and book it.

Your booking site shows every trailer's real availability. A renter picks pickup and return, sees the price, and reserves it. The calendar blocks those dates the instant they pay, so two people can't book the same dump trailer for the same Saturday.

What you stop doing

Answering “is the 16-footer free this weekend?” from the job site. Checking a paper calendar in the truck. Calling somebody back to tell them it's already gone.

02 · E-signed agreements + license capture

Every rental is signed, licensed and insured before pickup.

During checkout the renter photographs their driver's license, confirms their insurance, and signs your rental agreement with a finger on their phone screen. The signed agreement, license photo and insurance confirmation are stored with the booking. Nobody gets a lockbox code until all three are done.

What you stop doing

Meeting people in a parking lot with a clipboard. Taking a picture of a license with your own phone and hoping you can find it later. Renting to someone whose insurance you never actually saw.

03 · Automatic texting

The right text, at the right time, without you.

Booking confirmation the moment they pay. Pickup instructions and the lockbox code once the deposit hold clears. A return reminder the morning it's due. If it isn't back, the late notices start and keep escalating until it is. They come from a business number, so renter replies never mix with your personal texts.

04 · Late returns handled automatically

Late costs the renter, not you.

When the return time passes with no return photos, the trailer flips to Late on your dashboard and the renter gets the first notice. Notices escalate on a schedule you set. The late fee in your agreement is charged to the card on file. If someone does it enough, one tap adds them to your do-not-rent list and they can't book from you again.

What you stop doing

Calling a renter three times to ask where your trailer is. Deciding whether it's worth the argument to charge the late fee. Keeping a mental list of people you'd rather not rent to.

05 · Deposit holds + photo proof

A hold on their card and photos on both ends.

The day before pickup, HitchPilot places a refundable deposit hold on the renter's card. At pickup, the renter walks around the trailer and takes condition photos from their phone. At return they do it again. Every photo is timestamped and attached to the booking. Clean return, the hold is released. Damage, you have before-and-after proof and money already secured.

What you stop doing

Collecting cash deposits and keeping track of who paid what. Arguing over whether that dent was already there. Eating the repair bill because you can't prove it and the renter's gone.

06 · Unattended lockbox pickup

Pickups happen with nobody there.

Put a lockbox on the trailer or at the yard. HitchPilot reveals the code to the renter only after payment has cleared, the agreement is signed, and the deposit hold is in place. They show up, open the box, hook up and go. You find out it happened from the pickup photos on your dashboard.

Leaving work early to hand over a trailer. Waiting in the yard for someone who's running 40 minutes late. Turning down a Sunday 6 AM pickup because you don't want to be up for it.

07 · Fit, towing and pickup times

The right truck shows up, at the right time.

Each trailer lists what it needs: the ball size, the light plug, the tow rating, the payload. Renters see it before they book and confirm their vehicle matches at checkout; the agreement and the pickup text repeat it. If you run by appointment, they pick a pickup time and a return time from the hours you set, and closed days can't be booked.

What you stop doing

Watching a half-ton pull up for a 14,000-lb gooseneck. Explaining 7-blade versus 4-flat on the phone. Waiting at the yard because nobody said when they were coming.

08 · Owner alerts + calendar feed

You hear about it first, on the phone you already carry.

A booking comes in, a renter extends, a trailer goes late: you get a text with the renter's name, their number and what they're hauling. Subscribe once and every pickup and return sits in your phone's calendar with the details attached. Open the app when you want to, not because you have to.
