Who we are

HitchPilot is software used by independent trailer rental businesses (“operators”). When you book a trailer, the operator is the business you are dealing with and HitchPilot processes your information on their behalf and its own to run the booking.

What we collect when you rent

Your name, phone number and email; the dates and times you book and any add-ons; a photo of your driver’s license; whether you confirmed your insurance covers a towed trailer and, optionally, a photo of your insurance card; your confirmation that your tow vehicle fits the trailer and, optionally, what you plan to haul; the name of the person picking up, if not you; your drawn signature on the rental agreement; the photos you take at pickup and return; and payment details, which go directly to Stripe (we never see your full card number). We also keep the text messages and emails sent to you about the rental.

What we collect from operators

Business name, phone, email, pickup address and instructions, trailer details and photos, hours, website content, and the Stripe account identifiers needed to route payouts. Login passwords are stored only as salted hashes.

Why

To run the rental: confirm bookings, send the texts and emails described in the Terms, place and release deposits, settle damage or late fees under the agreement you signed, and give the operator the records they need. License photos, insurance confirmations and condition photos exist to protect both sides if something goes wrong. We do not sell personal information and do not use it for advertising.

Who sees it

The operator you rent from sees everything about your rental. Stripe processes payments under its own privacy policy. Our text and email providers deliver messages. Our hosting and database providers store the data. HitchPilot staff can see records to support operators and keep the service running. We share data with authorities when the law requires it.

Cookies

A login cookie for operators; a session cookie for checkout; and a small cookie that remembers how you first arrived at a booking site (for example from a QR code or a Facebook listing) for 30 days so the operator knows what works. No third-party advertising cookies.

How long

Booking records, signed agreements and condition photos are kept while the operator’s account is active, because they are the evidence for deposits, damage and disputes. Operators can ask us to remove records that are no longer needed, and you can ask the operator or us to correct or delete your information where the law gives you that right; some records must be kept for tax or legal reasons.

Texting consent

Phone numbers entered at checkout are used only for transactional messages about that rental. Reply STOP to opt out at any time, HELP for help. We keep a record of opt-outs.

Children

You must be 18 or older to rent through HitchPilot. We do not knowingly collect information from anyone under 18.
